Forms, surveys and data collection

A visit ends with a photograph of a handwritten form, sent to a group chat. The number you need is in one of those photos, and nobody can add them up. Capture software is a small piece of work with a large effect on what you can later claim: one form, the same fields every time, checked while it is filled, and stored where it can be counted.

Who it is for

  • Companies sending inspectors, technicians or agents into the field.
  • Teams collecting surveys across communes, with interviewers who are not employees.
  • Operations where the report is written at night, from memory.

Problems it solves

Missing answers are found too late

The form comes back with the address blank, and the person who could answer is now two hours away and not coming back this week.

The same field, five handwriting styles

One inspector writes the reading in the margin, another writes it in the box. Both are correct until someone has to compare two hundred of them.

A photo is not data

Two hundred images in a chat thread cannot be summed, filtered or audited. The report is written by whoever has time to read them.

Use cases

Site inspections

A checklist per site type, a photo field that opens the camera rather than the gallery, and a signature from the person present.

Field surveys

Sampling by commune, an interviewer code on each form, and a partial save so a long questionnaire survives a battery that dies mid-visit.

Installation and delivery reports

Serial number, meter reading, a photo of the installed unit and the customer's signature, attached to the order they belong to.

Audits and safety rounds

A scoring rule, a required corrective action when a score falls below a threshold, and a record of who closed it and when.

What is in scope

Fixed scope. Fixed price.

Agreed in writing before anything is built. You approve before we start.

  • The form itself: fields, types, required rules and conditional sections
  • Validation at entry: ranges, formats, and photos that must be taken on site
  • Offline capture, with a queue that sends when the connection returns
  • Roles: who fills, who reviews, who may correct after submission
  • Exports and a dashboard over the collected answers
  • Handover of the form builder, so a field can change without us

How it is delivered

  1. 01

    Fill one in by hand

We take the paper form into the field, or watch it being filled. The fields people skip are usually the fields the form does not need.

  2. 02

    Cut the form in half

Paper forms carry fields that exist for a reason nobody remembers. Fewer fields is the cheapest accuracy gain available.

  3. 03

Test where the signal is bad

A basement, a lift, a village at the edge of coverage. Offline is a claim until it is tested in those three places.

  4. 04

Count something in the first week

The first report is produced from real submissions before the last section is built. A form that produces nothing readable is a form nobody keeps filling.

FAQ

Questions about this service.

What owners usually ask before requesting a quote for it.

Something else? Put it in the project brief.
Does it work with no connection at all?

Yes, with limits. Answers and photos wait on the device and upload later. A form that needs a live lookup — a customer's balance, today's price list — will not work offline, so we either design that lookup out or accept that the form waits.

Can we change the form without you?

If the form builder is in scope, yes — fields and rules are yours to edit. A form hand-built in code needs a developer for a structural change. We say which of the two you are getting before the build starts.

What about the paper forms we already have?

They can be typed into the new system if their answers are still used, or scanned and archived if they only need to exist. We do not promise to read handwriting automatically; that is a project of its own and it fails often.

Will our field staff actually use it?

That is the real risk, and it is not a software one. If the form adds five minutes to a visit and saves the inspector nothing, it gets filled at night from memory or not at all. We shorten the form, and we make sure the person filling it gets something back: a finished report, a signature, a closed case.
