Finance and accounting systems

The invoice is printed, the client pays in two instalments, and at the end of the quarter somebody rebuilds the VAT from a box of receipts. Financial software earns its cost at one moment: when a sale becomes a document your accountant and the tax administration both accept. Everything else on this page follows from getting that moment right.

Who it is for

  • Businesses issuing more invoices per month than one person can follow.
  • Companies whose accountant receives an export and rebuilds half of it by hand.
  • Wholesalers and retailers with credit sales, deposits and partial payments.

Problems it solves

VAT is calculated twice, differently

The counter charges 19%, the invoice template charges 9%, and the difference surfaces at declaration time, after the quarter has closed.

The timbre fiscal depends on memory

Someone knows which documents carry the stamp and which do not. When that person is on leave, receipts go out without it and the correction is manual.

The month closes outside the ledger

Bank, cash and credit sales are reconciled in three tabs. The accountant receives a file and rebuilds the entries before anything can be posted.

Use cases

Fiscal invoicing

Numbering per series with no gaps, 19% and 9% lines on the same document, the stamp where it applies, and a credit note that reverses the correct VAT line.

Purchases and supplier ledger

Purchase orders, supplier invoices with their own VAT, payment schedules, and a balance per supplier that matches the statement they send you.

Payroll

Salary, the contributions withheld from it, advances and a payslip per employee — with the monthly declaration figures produced by the same run instead of retyped.

Month-end close

A checklist: unposted invoices, an unbalanced cash drawer, a missing supplier document. The month is closed when the list is empty, not when someone gives up.

What is in scope

Fixed scope. Fixed price.

Agreed in writing before anything is built. You approve before we start.

  • A chart of accounts aligned with your accountant's, not invented by us
  • Sales and purchase documents: invoices, credit notes, delivery notes, receipts
  • VAT at 19% and 9%, with the summary your declaration needs
  • Customer and supplier ledgers with aged balances
  • Payroll runs, payslips and the figures for the monthly declaration
  • Opening balances migrated and proven against the last closed period

How it is delivered

  1. 01

    Start at the accountant's desk

We take the last closed period as the reference: their ledger, their export format, their definition of a balanced month.

  2. 02

    One invoice, end to end

A real invoice is issued, printed, cancelled and credited before any other document type is built.

  3. 03

    Cash before credit

The drawer and the bank are reconciled daily first. Credit sales are added once the daily figure can be trusted.

  4. 04

    Close one month together

The first close happens with your accountant present, on real documents. The second is run by your team while we watch.

FAQ

Questions about this service.

What owners usually ask before requesting a quote for it.

Something else? Put it in the project brief.
Does it replace our accountant?

No. It produces documents and figures an accountant can post without rebuilding them. Judgement about classification, disputes and declarations stays with them.

What about the invoices we have already issued?

History is not renumbered. The system starts from the last number used in each series, and opening balances are checked against the last closed period. Old paper stays valid; it is not re-issued.

What does it not do?

It does not file your declarations with the tax administration, and it does not give a legal opinion on a disputed assessment. It gives your accountant the figures to file and a record of what was issued, on which date, under which rate.

What happens when a rate or a rule changes?

Rates and thresholds are configuration with an effective date, so an old invoice keeps the rate it was issued under. Changing them is small work, priced when it happens — we do not promise unlimited updates for free, and a system that hides the rate inside the code makes every change a rebuild.
